For the initial login on DRACOON, the system provides the users with a link with a user name and password for the initial login.
If the user logs on with this data, the system automatically prompts him or her to assign his or her own password, which is valid from this point on.
The storage space for one or more users can be limited by a variable quota arrangement of the data room assigned to the user(s).
The recycle bin enables users to restore deleted files in a data room. This function can be activated for every data room. If the recycle bin is activated, all future deleted files in this data room are first moved to the recycle bin.

With the help of the cross-data room search function files, data rooms and directories can be searched for quickly and conveniently. The search result depends on the respective access rights and is clearly displayed according to creator, classification, size, date and time. The result can optionally be further refined using filters.
Notice: When searching for several terms, these are linked with a *, for example invoice*2019.

Starting with the Enterprise Cloud variant, the URL or subdomain can be freely selected.
We recommend a subdomain such as dracoon.yourdomain.de or a name adapted to the company. A subdomain such as yourdomain.de/dracoon would also be possible if a redirection the subdomain was set up from there.
Starting with the Enterprise Cloud variant, the company logo, the favicon as well as the primary and secondary color can be adapted at any time by the config-manager. This can be done in the DRACOON integrated Instabrand branding portal.
With DRACOON for Windows/Mac the contents of DRACOON can be displayed and accessed as a separate drive in Windows explorer or Mac finder.
Starting from the Enterprise Cloud variant, DRACOON can be comfortable connected to one or more AD / LDAP of the company.
DRACOON can be mounted as a drive without restrictions via web browser or DRACOON for Win/Mac. DRACOON for Outlook simplifies the workflow for email communication.
With help of the open program interface JSON/REST-API, DRACOON can be integrated comfortably and efficiently into existing software applications such as SharePoint, CRM, ERP, ticket systems etc.

DRACOON can be easily linked to Outlook via an add-in. DRACOON for Outlook can be used to quickly and conveniently share new files as well as existing data on DRACOON and create upload accounts.
Local applications can be opened, edited and saved directly via DRACOON for Win/Mac. DRACOON for Win/Mac synchronizes changed files after a preset interval or via manual input.
If a user gains access to encrypted data rooms from DRACOON, the system must first generate the keys for them.
To create them, the user is guided through the setup steps by Wizard.
Once the user has generated the keys and set up his or her personal password for them, the data room admin must link the available data to this user, since the system did not know this user when the data was uploaded.
This is a very simple, one-time process; for further use of DRACOON, only the encryption password is required when accessing encrypted data rooms.
Detailed information on the encryption
The SSL certificate can be provided by yourself. In this case, the certificate and the corresponding key must be sent to DRACOON.
Due to safety precautions it is not possible to encrypt a data room retrospectively once files are in the data room.
Tip: If you create a new data room and activate client-side encryption for it, you can then upload the desired data to the new data room. These are now encrypted.
The classification of a file, public, for internal use only, confidential and strictly confidential, is a purely optical ranking that visually provides a quick overview of the classification of a file. This classification has no effect on the encryption method of a file.
If a file classified as "confidential" or "strictly confidential" is to be released for download, password setting is mandatory.
All files uploaded and downloaded via DRACOON are encrypted by default on the server and the transmission path. This encryption is always active.
Due to the end-to-end encryption used by DRACOON, data is additionally encrypted on the client side and offers maximum security. Since each user works with his own encryption password, usability is not impaired.
